Application Instructions - New Westminster International Education Program

Thank you for your interest in applying for admission to the New Westminster School District International Program. If you have a question, please email iep@sd40.bc.ca

 

Before you Begin

 

Please note the following application restrictions: 

1.    Our district managed homestay program is closed for September 2022.   If you are interested in attending the high school (grades 9 to 12) and have privately arranged accommodation, please contact iep@sd40.bc.ca for information on the application process.

 

2.    Applications for elementary and middle school for September 2022 are now closed.  

As of February 1st, 2020, we accept only environmentally friendly paperless applications. We appreciate students, parents and representatives using only this secure online application system.

 

For your online application to go smoothly,

  1. Please read the instructions first.
  2. Download the required documents. Ensure you have time to consult with outside sources (schools, physicians and so on) before completing the application.
  3. When you have all the documents completed, scan them for uploading.
  4. You will need to pay $200 CAD application fee. You can pay via Flywire. Please note that the application fee is non-refundable.
  5. Information for both the applicant and at least one parent will be required.
  6. The online application process should take between 30 and 60 minutes.
  7. After beginning your application session, you will have 14 days to complete it. For privacy protection, applications not completed after 14 days will be automatically deleted.

Required Documents

Please prepare the documents listed below. Documents with an * may require time to consult with outside sources (schools, physicians and so on) before being able to complete the application.  The online application system will not allow you to complete your session if these documents are not included. All Documents must be in PDF or JPEG format and no more than 5MB in size.

 

1. International Student Agreement

The parent(s) listed on the application are required to sign the agreement. Please download the International Student Agreement, sign and date it in ink.

 

2. Record of Grades*

We require the previous two years of academic records for the applicant, translated into English. For example, if a student is currently in Grade 9 please include the academic records for Grades 7 and 8.  Graduating students must submit original or certified true copies of courses for credit prior to starting school.  For the application process at this time, a photocopy is sufficient.

 

3. Passport Picture Page

If the applicant possesses a passport, please scan and upload the photo page.

 

4. Academic Reference Form*

Please request a teacher, school counselor, or Headmaster/Principal to complete and stamp the academic reference for the applicant. If a letter of reference is attached it should be on school letterhead.

 

5. Medical Reference Form*

Please request a physician to complete and stamp the medical information form for the applicant.  The medical form should include all medical conditions minor or major.

 

6. Immunization records*

Please attach all immunization records relevant to the medical history of the student and translated into English.

 

Additional Required Documents

 

1. Custodianship Declaration Form - Custodian for Minor studying in Canada*

If the applicant will not be part of our homestay program, a custodian must be assigned. The custodian must be a Canadian citizen or Permanent Resident, over 25 years old, and must live full time in the Vancouver area.

 

A copy of the completed and notarized custodial forms (pages 1&2) can be sent to our office at iep@sd40.bc.ca after acceptance and before beginning the program. It is not required at the time of application.

 

2. Course Selection Form

If the applicant is applying to high school admission, please complete the course selection form. This form is used by counselors for class scheduling. 

 

Additional Documents (suggested, but not required).

  1. Student’s letter of intent. This letter is written by the student explaining their desire to come to Canada and study in the New Westminster School District. It should outline their past studies, their interests and hobbies, and their future goals.   
  1. Photo albums. Some students compile a photo album for the homestay placement process.  
  1. Other documents. If you have other documents such as language test scores, please submit.
